Every shelf empties on a different day, but you can only see one shelf at a time — so which item should you order first, and by what date? This multi item stock days left calculator turns your whole stock list into one urgent-first queue, with a run-out date and a reorder-by date for every item. No sign-up, no prices, just units.
| # | Item | Days left | Run-out date | Reorder by | Reorder point (units) | Status |
|---|
Formula: Days left = stock on hand ÷ average daily use (rounded down). Run-out date = count date + days left. Reorder-by date = run-out date − lead time − safety buffer. Reorder point = daily use × (lead time + buffer). Units only — no prices anywhere.
How to use the multi item stock days left calculator
First, check the count date — today is filled in for you. Then add one row per item and type in the stock on hand, the average daily use, the lead time in days and, if you like, a safety buffer. Each row takes seconds.
The tool instantly sorts everything into one urgent-first queue. Each item shows its days left, run-out date, reorder-by date, reorder point in units and a clear status: Order now, Reorder in X days or OK.
Work down the queue from the top. Copy the result or print the queue, then order each item by its reorder-by date. Hit Clear any time to start a fresh count.
Worked example
Press “Load example” in the tool above and you get three items with different stock, daily use, lead time and buffer. With a count date of 1 November 2026, the maths looks like this.
| Item | Days left | Run-out date | Reorder-by date | Reorder point | Status |
|---|---|---|---|---|---|
| Flour 1 kg bags | 3 | 4 Nov 2026 | 1 Nov 2026 | 6 units | Order now |
| Milk 1 L cartons | 7 | 8 Nov 2026 | 5 Nov 2026 | 6 units | Reorder in 4 days |
| Paper napkin packs | 40 | 11 Dec 2026 | 4 Dec 2026 | 7 units | OK |
Flour tops the queue even though milk has the same reorder point, because flour runs out first. The summary strip confirms it: soonest reorder-by 1 Nov 2026, one item to order now, two due within 7 days.
Notice how the buffer changes things. Milk has a 1-day buffer, so its reorder-by date is 5 November — a day earlier than lead time alone would give. Napkins look safe with 40 days left, but the queue still gives them a firm reorder-by date of 4 December.
Common mistakes this tool helps you avoid
Ordering everything at once. It feels safe, but it ties up cash and shelf space. Most items are fine for weeks. Order only what the queue flags, starting with the Order now items.
Ignoring lead time. Many owners watch the run-out date and order on the last day. That is already too late. Lead time is the gap between ordering and restocking, and the reorder-by date already subtracts it for you.
Skipping the safety buffer. No buffer assumes deliveries never slip and sales never spike. A buffer of one or two days costs almost nothing and stops a small delay turning into an empty shelf.
FAQs about the multi item stock days left calculator
How is days left calculated?
Days left is your stock on hand divided by your average daily use, rounded down. So 6 units at 2 units a day gives 3 days left. Rounding down keeps the estimate cautious, so you never think you have more time than you do.
What is the difference between the run-out date and the reorder-by date?
The run-out date is when the shelf goes empty at your current pace. The reorder-by date is earlier: run-out minus lead time minus your safety buffer. Order by that date so new stock arrives before you run out, not after.
What does lead time mean here?
Lead time is how many days it takes from placing an order to having the item back on your shelf. If your supplier needs 3 days, the tool subtracts 3 days from the run-out date to tell you the latest day you can order.
Why should I add a safety buffer?
The buffer adds spare days for late deliveries or busier-than-usual days. Even 1 or 2 days of buffer can stop a small delay turning into an empty shelf, and you can leave it at 0 if you prefer a tight schedule.
Does this tool work for a Shopify shop?
Yes, it is for any shop. It does not read Shopify data — you type the numbers yourself, so it works for Shopify stores, market stalls, stockrooms and home businesses alike.
Running a small business means juggling many small jobs. If you also track project updates, try the multi-project status roll-up generator, and if you handle audio work, the transcription time planner estimates your turnaround time. Both are free, instant and need no sign-up.
